Region 114 Battle at the Beach AYSO EXTRA Tournament

Tournament Check-in

Steps to check-in your team

Where do I check-in?

Your Check-in location is determined by the location of your first game.

If your first game is at Heartwell: If your first game is at McBride:
  • Check it at McBride (Tent at field entrance)
If your first game is at Monroe:
  • Check it at Monroe (Tent at field entrance)
If your first game is at Cubberley:
  • Check it at Cubberley (Tent at field entrance)

Who needs to be present at check-in?

Send ONLY ONE representative to your assigned check-in location (see above) at least 40 minutes prior to game time. You do NOT need to send players.

What do we need at check-in?

Your representative MUST bring three items:

  • Roster signed by Regional Commissioner.
    • This can be an E4-generated roster or our tournament roster.
    • We prefer a PHOTO roster. But a regular roster is acceptable.
  • Signed Guest Player form (only if using guest players)
  • FOUR (4) prefilled Lineup Cards
    • Each card shall include jersey # and full player name, and be listed in jersey # order.
    • All players listed on lineup card must be listed on the signed roster. Any player on lineup card not listed on the roster (and guest player form) will be marked ineligible.
    • Here is a lineup card template if needed

All teams must have player photos (either photo roster or AYSO photo ID cards) as well as paper Medical Release forms with them at all times. Player photos must be presented to tournament officials if requested/questioned. (Photo roster sample here.)

Upon check-in, we will stamp each of the 4 line-up cards, and hand everything back to you. Prior to each match, please provide the match official with one of your stamped line-up cards.

Questions about check-in? [email protected]

How to Generate a Photo Roster in AYSO E4

If you want to generate an "Official AYSO Photo Roster" through the AYSO Association Platform "E4," here are the steps:

  1. In E4, from the top menu choose Teams > Team Lookup.
  2. Search for the team. Click on the team to view.
  3. At the bottom of the Roster tab, find the Print Official Roster or the Print Official Photo Roster button. (see screenshot)

If you do not have access to E4, check with your Region Commissioner, Registrar, or CVPA.

If you do not have access to a photo roster OR player ID cards, you can create a simple word document with each player's photo and name, and have your Regional Commissioner sign it. (Signature required)

A tournament to warm-up your referees too!

Players aren't the only ones developing on the field. This tournament is great for veteran referees to shake off the cobwebs, or new referees to get their whistles wet (literally). Because of this, we value teams that are bringing full referee crews. We favor those teams in our selection process.

If you're a free agent referee looking to pick up some games, please submit your info on our Independent Referee form.

Enough reading. Jump to team registration!

Is this just for EXTRA™ teams?

No! The tournament began as a way for EXTRA teams to prepare for the upcoming season, but if you are a similar level / year-round AYSO All-Star or Tournament team, we would love to have you. The only requirement is that players are registered in AYSO for the upcoming Fall season.

My roster isn't finalized yet. Can I still join?

Yes! Go ahead and register your team online to reserve your spot.

My team has kids with different birth years. Can we still participate?

Yes! Your team will play in the year division of the oldest player on your team. (We use single year divisions.)

    Are there Friday night games?

Up to you. When you register, you choose whether you can play Friday or not. For most, no.

How many games do teams get to referee?

We ask teams to cover six referee slots in total. If you have a team of 3 referees, that is two matches. If you have fewer referees, you can still get a partial/prorated referee refund based on the number of slots you cover.

I am an independent AYSO referee and would like to volunteer my time.

You are a beautiful unicorn. Thank you! Please submit your info on our Independent Referee form. (This is not for referees who are part of a team participating in the tournament.)

AYSO Battle at the Beach is the perfect way to shake off that referee rust. We have 7v7 (U10), 9v9 (U12), and 11v11 (U14) matches. As a thank you, we offer our independent AYSO referees:

Certified AYSO Referees who are not connected with a team participating in the tournament, please submit your information on our Independent Referee form.

    Tournament Registration

    🛑
    REGISTRATION IS CLOSED
Due to the overwhelming number of applications received this year, we have closed registration. We hope you'll join us in 2026.

👣 NEXT STEPS IF YOU'VE BEEN SELECTED:

    1. Submit $825 payment within two weeks of receiving invitation email.

You may pay via Region Check or Zelle.

If Zelle, send to [email protected]. (Splitting up into partial payments is fine.)

If using check, please make payable to AYSO 114 Battle at the Beach. See snail mail address for checks in Team Invite.

If you have not received a "congratulations you're selected" email, then do NOT send payment at this time.
    2. Obtain your signed Roster from your Regional Commissioner

This should be generated through the AYSO Association Platform. (AYSO allows this to be generated after August 1st.)

Note: Teams that do not present a signed roster at check-in may be barred from participating or advancing to medal rounds.

      A note about rosters:
      • A PHOTO ROSTER is preferred. This must be signed by your Regional Commissioner.
      • If your region uses non-photo rosters, then you must also bring AYSO player ID cards. The roster must be signed by your Regional Commissioner.
      • If your region cannot generate any team rosters, you may use our Team Roster form. It must be signed by your Regional Commissioner.
      • Rosters must include jersey #s, and players should be listed in jersey # order. The jersey #s on your roster must match your line-up card.

    3. Generate four copies of your line-up card.

Line-up cards must be include jersey #, first name, and last name of each player. If you do not have lineup cards, use our line-up card template.
    4. These other documents are conditionally required:

    Available Team Spots

Standby Divisions (Yes, you should register your standby team!)

If we get enough standby teams in a division, we will secure more field space and create additional brackets/flights.

We don't ask for payment or documents of Standby teams until we are able to officially offer them a spot. Registering your team, with the link below, is free and it reserves your place in line.

Even better, all goalkeepers of Standby teams are allowed to sign-up for our GOALIE WARS mini-tournament, which takes place Saturday night at the conclusion of the main tournament games. So if you have a goalkeeper, this benefit alone may be worth the time to sign up as a standby team!

Update July 14, 2025: We have 120 teams and no more field space. We will not be able to expand any more brackets.
